The Contract Renewal Process. As a current residence hall student you have priority over off-campus and new students to select your room for next year.

Things to know before renewing your contract:

  • The Contract Renewal process is a Web-based, online computer process.
  • You will need your University Log-On ID (ULID) and your registration PIN number to sign up for a room. If you don’t remember your ULID, you can use Illinois State's People Finder to get it. If you don’t remember your PIN, go to Moulton Hall 107 (Student Service and Referral Center) and present a picture ID.
  • You won’t be sent an application-contract form. Your contract will be established upon completing the room selection process and acknowledging your acceptance of the Residence Hall Contract Terms and Conditions. This will come at the end of the online process. Once you have accepted the Residence Hall Contract Terms and Conditions, you may print a copy of what you have selected for your records. University Housing Services will send you confirmation of your room assignment in April.
  • Read the "Renewing Your Contract" Brochure and the Contract Terms & Conditions.
  • Decide on your payment plan (full or installments) and your meal plan.
  • Know the ULID of your preferred roommate(s) (if a current Illinois State student) or birth date (if new to Illinois State for fall).
  • Have an idea of the room you would like for next year (i.e. your current room, a single, a different hall, etc.).
  • Review the Priorities, Dates, and Times to know when you can select a room.
  • Know which version of Internet browser you have on your computer. The Contract Renewal Web site is accessible on computers using Netscape Communicator 4.51 and above, or Internet Explorer 5.0 and above. If you have problems with your Internet Browser, or call 438-HELP.
  • If, after you’ve selected a room, you want to select a different room or roommate, or you want to change your meal or pay plan, you may go back online to do so during the times the process is available.

Available Rooms

During the online process, you are shown and allowed to choose the rooms with vacancies and only the rooms for which you qualify. For example:

  • If you are not a music major, you will not be shown the rooms in the Music lifestyle.
  • If you select one roommate, you are shown doubles and triples with two vacancies.
  • If you select two roommates, you are only shown triple rooms with three vacancies.

Single Occupancy Rooms

During the appropriate priority times, you will be allowed to select available single-occupancy rooms. You may select an available single room when you renew your contract, or you may select a multiple-occupancy room and reenter the Web site at a later time to search for available singles.

If you are currently in a single and wish to keep it for next fall, you must renew your contract online on Monday, February 12, or Tuesday, February 13. If you do not renew on those days, your room will be available for other students to choose. You will loose your priority for your current single room if you do not renew and select your room on these days.

Roommates

With the online Contract Renewal process, you may request a roommate who is a residence hall student, an Illinois State student living off-campus, or a new student for fall. When you select and search for rooms, you will be shown rooms with vacancies for you and a roommate preference if you have one. Roommate preferences must be mutual. Roommate preferences cannot renew their contract before their appropriate priority, date, or time.

If your preferred roommate is a current residence hall student who has renewed his or her contract but did not list you as a preference, the preferred roommate must re-enter the Contract Renewal Web site to select your room and you as his or her roommate. If your preferred roommate does not, the roommate preference will be removed from your contract at the close of the day on Friday, March 23.

If you and a preferred roommate request each other but select different rooms, one of you must re-enter the Contract Renewal Web site to select the same room as your preference. If one of you does not, the roommate preferences will be dropped at the close of the day on Friday, March 23.

If your preference is an off-campus student or a new student, the preference will remain on your contract throughout the Contract Renewal process. However, if your preference has not filed a residence hall contract and requested you by April 20, our office may not be able to consider your preference.

Completing the process

To complete the Contract Renewal process, you must agree to the Residence Hall Contract Terms and Conditions. At that point you will have an active, legally binding residence hall contract on file with University Housing Services for 2007-2008, and all Residence Hall Contract Terms and Conditions will apply.

You will be billed the $200 room reservation charge in March or April. The $200 is applied toward your housing charges for 2007-2008. Failure to pay the deposit does not result in an automatic cancellation of your contract.
